How to use this template
Build the budget from a locked scope and schedule, not from the amount you hope to spend.
Set assumptions
Confirm format, runtime, shoot days, locations, crew size, currency, tax treatment and delivery requirements.
Price the real plan
Enter quantity, rate and actuals. Quotes should state inclusions, overtime, cancellation terms, tax and quote validity.

Producer intelligence
These are common reasons apparently “complete” budgets fail during production or delivery.
Separate cost, cash and value
The budget records cost. Build a separate cash-flow schedule showing when deposits, payroll, tax and final balances fall due. Record verified in-kind support separately so it does not conceal the cash requirement.
Model labour accurately
Do not multiply only shoot days by a day rate. Budget each department’s prep and wrap, overtime, meal penalties or breaks, holiday/payroll obligations, travel days and kit fees under the relevant agreement and local law.
Control scope in post
Define runtime, aspect ratios, languages, revision rounds, VFX shot count, sound format and masters before accepting post quotes. Versioning can become a material cost even when the creative edit is locked.
Budget the chain of title
Track contracts and releases for screenplay, cast, locations, artwork, archive, trademarks and music. Clearance limits should match the intended media, term and territories, not merely the first release.
Plan international shoots
Allow for visas/work permissions, fixers, translations, customs or carnets, local payroll, withholding tax, bank fees, currency movement, baggage, communications and realistic travel recovery.
Contingency is not a discount
Keep contingency controlled by the producer; do not use it to make underquoted departments appear affordable. The appropriate level depends on budget maturity and risk. Early or complex productions may require more than 10%.
